Service Terms
Shannon Paints
These terms apply to custom artwork commissions, live event painting, and holiday window painting services provided by Shannon Ratcliffe / Shannon Paints. By booking a project, submitting a deposit, or approving a quote, you agree to these terms.
Booking and Payment
A 50% deposit is required to reserve a project, event date, or window painting appointment. The deposit confirms your booking and covers initial design planning and materials sourcing.
The remaining balance is due upon completion — before artwork is delivered or shipped when applicable, and before a final window painting session is signed off. For multi-session projects, a payment schedule will be outlined in your quote.
Accepted payment methods: cash, Venmo, Zelle, or credit card through Square.
Custom Artwork
Scope Confirmation
Before work begins, we will confirm in writing: the subject matter, size, medium, color palette, reference materials, and any specific requirements. Work begins only after written approval of the design direction.
Natural Variation
All artwork is handmade. Finished pieces will reflect the agreed design direction but will have natural variations in brushwork, texture, color mixing, and line quality. These are a characteristic of original handmade art, not defects.
Revisions
One consolidated round of revisions is included during the design approval stage, before work begins. Once the design is approved in writing, changes to the approved direction — or any additional revision rounds — require a separate quote and written approval before proceeding.
Significant changes to scope, size, subject matter, or medium after a deposit has been paid may affect the final price and timeline. You will be notified and asked to approve any additional charges before they are incurred.
Cancellations and Rescheduling
How cancellation charges are calculated
If you cancel after work has begun or materials have been purchased specifically for your project, you are responsible for the actual cost of work completed and materials purchased up to the date of cancellation, calculated as follows:
- Completed work is valued at the per-item or per-phase rate in your approved quote. If the quote does not break down work by phase, the rate used will be the hourly rate stated in your approved booking documents. No rate will be applied that was not agreed to in writing before work began.
- Materials means supplies purchased specifically for your project that cannot be returned to the supplier or reused on another project. Returnable or reusable supplies are not charged to you. Any supplier refund received will reduce your charges accordingly.
Your deposit is credited toward those charges first. If the deposit covers them in full, no additional amount is owed. If the deposit exceeds the charges, the remaining balance will be refunded to you within 14 business days after your cancellation is confirmed in writing. If the charges exceed the deposit, the difference will be invoiced after work stops, accompanied by an itemized accounting of completed work and materials.
Work stops upon receipt of your written cancellation notice. No additional work or materials will be charged after that point.
If you cancel before any work has begun and before any project-specific materials have been purchased, your deposit will be refunded in full within 14 business days after your cancellation is confirmed in writing.
Refunds are issued to the original payment method. Posting times may vary depending on your payment processor or financial institution.
Custom artwork and commissions
Cancellation charges are calculated as described above, based on work completed and materials purchased at the time your written cancellation notice is received.
Live event painting
Cancellation charges are calculated as described above, based on preparation work completed and materials purchased at the time your written cancellation notice is received. Preparation work includes design development, materials sourcing, and canvas preparation.
Window painting
Cancellation charges are calculated as described above, based on design work completed and materials purchased at the time your written cancellation notice is received.
If I must cancel — unfinished commissions
If I need to cancel a confirmed custom artwork commission, I will promptly notify you in writing and offer you a choice between:
- A mutually acceptable replacement start date; or
- A refund of all payments received for the project, less the value of any work already completed, calculated using the same method described above.
You are not required to wait before choosing a refund. If you choose a refund, it will be issued within 14 business days after your decision is confirmed in writing. Posting times may vary depending on your payment processor or financial institution.
If I must cancel — confirmed events
If I need to cancel a confirmed live event painting date, I will promptly notify you in writing and offer you a choice between:
- A mutually acceptable replacement date; or
- A full refund of all payments received for that event.
You are not required to wait before choosing a refund. If you choose a refund, it will be issued within 14 business days after your decision is confirmed in writing. Posting times may vary depending on your payment processor or financial institution.
Rescheduling
I will do my best to accommodate rescheduling requests, subject to availability. No automatic rescheduling fee applies. If a reschedule results in actual costs — such as materials already ordered that cannot be held or reused — those costs will be itemized and require your written approval before being charged.
Weather-related rescheduling for window painting will be coordinated without a rescheduling penalty. I will contact you as early as possible if weather requires a change to an exterior appointment.
Window Painting — Scope and Conditions
Written Quote Required
Every window painting project requires a written quote specifying: the windows or glass doors included, the agreed design, access requirements (interior or exterior application), and whether removal is included. Work will not begin until the quote is approved in writing and the deposit is received.
Client Disclosures
Before work begins, clients must disclose any known existing damage, cracks, chips, or scratches on the glass, as well as any films, tints, coatings, UV treatments, or other surface treatments applied to the glass. Failure to disclose these conditions in advance releases Shannon Paints from responsibility for any interaction between the paint and undisclosed surface treatments.
Preparation and Site Access
Clients must provide clear, safe access to the work area — including removing furniture, décor, or obstructions near windows or painting surfaces. All windows included in the quote must be clean and accessible before the appointment, unless glass cleaning is explicitly included in the quote. Surfaces that are not clean and ready may result in rescheduling or additional charges.
Weather and Outdoor Work
Outdoor work — including exterior window painting and live event painting held outdoors — may need to be rescheduled due to weather conditions such as rain, high winds, or extreme temperatures. I will contact you as early as possible if weather requires a change.
Durability of Window Artwork
Window paintings are temporary decorative art. Their lifespan varies depending on weather exposure, direct sunlight, cleaning frequency, cleaning products used, and the condition of the glass surface. No specific lifespan is guaranteed. Clients should avoid using abrasive cleaners, scrapers, or pressure washing on painted surfaces.
Removal
Removal is a separate service unless it is explicitly listed in the written quote. If removal is not included in your quote, it will be quoted separately when you are ready to have the artwork removed.
To extend the life of window artwork: clean surrounding glass gently, avoiding the painted area; do not use ammonia-based cleaners, abrasive pads, or scrapers on the painted surface; avoid directing sprinklers or pressure washers at painted windows.
When you are ready to remove the artwork, contact me for guidance specific to your surface. Attempting removal without guidance may damage the glass or surface.
Travel and Additional Charges
Travel within 20 driving miles of Lake Forest, California is included in the quoted price. Travel beyond 20 miles will be quoted separately and must be approved in writing before the appointment is confirmed.
The following may result in additional charges, which will always be disclosed and approved in writing before being invoiced:
- Parking fees or permits required to access the location
- Special equipment required for access
- Windows or surfaces added to the scope after the quote is approved
- Design changes requested after work has begun
- Extended appointment time due to conditions not disclosed at the time of quoting
No additional charges will be applied without your prior written approval.
Artwork Rights and Photography ✦
The provisions in this section are held for California legal review. They are not published as a blanket liability waiver, and reproduction rights may vary by project type. Please review with a California attorney before this section goes live.
Ownership of the Physical Artwork
For custom commissions (canvas, board, or other portable artwork), ownership of the physical piece transfers to the client upon receipt of full payment. Window paintings are temporary and site-specific; ownership of the physical artwork is not transferable.
Reproduction Rights ✦
Shannon Paints retains all copyright and reproduction rights to original artwork, including the right to photograph, document, and share images of completed work for portfolio, marketing, and promotional purposes — unless a privacy agreement is in place.
Clients may display and enjoy their commissioned artwork but may not reproduce, sell, license, or create derivative works from it without written permission.
✦ California legal review required before publishing: confirm this clause is consistent with California's treatment of work-for-hire and commissioned artwork, and that it accurately reflects the rights applicable to each service type.
Privacy Option
If you prefer that your project, location, or home not be featured in Shannon Paints' portfolio or marketing materials, please request a privacy agreement at the time of booking. Privacy agreements are available at no additional charge and must be requested before work begins.
Booking Acknowledgment
By submitting a booking or accepting a quote, you confirm that you have read and agree to these Service Terms and to the scope, pricing, and payment schedule in your approved quote.
